🚨 IMPORTANT ANNOUNCEMENT

We’ve consolidated all our questionnaires into a single Universal Questionnaire that adapts dynamically based on the Immigration Pathway, the applicant’s responses, and their assigned role. For example, when a questionnaire is assigned to the Sponsor, it will automatically tailor the questions to show only what’s relevant to them. Additionally, as applicants provide their answers, further questions will appear and be marked as required to ensure you capture all the necessary details for completing their application.

Forms and Document Checklists are now automatically assigned to applicants based on their selected Immigration Pathway and assigned role.

Be sure to assign the correct role to each applicant to provide the most streamlined experience.

Automations

Universal Assessment
Easily assess your client across multiple immigration pathways—such as Express Entry, FSW, and PNPs—using the universal assessment tool—a single assessment that scores them all.

💡How to enable Assessments

The FSW and Express Entry Assessments are included free of charge in all plans.

PNP assessments, however, are only available for free with the Premium/Core (Annual), Advanced, and Ultimate plans. If it's not included in your current plan, you can add it as an add-on from your Subscription page.

Once activated, you’ll begin receiving scorecards for supported PNPs when clients complete their assessment.

Note: PNPs are based on your client's responses. For example, if they select Ontario and British Columbia as preferred provinces, only OINP and BC PNPs will be assessed.

Automated Expiration Tracking
Key documents like passports, permits, biometrics, and language test results are now automatically tracked for expiry dates directly from questionnaires and assessments.

Automated Reminders
Send automated reminders to clients at a set frequency—daily, weekly, or monthly—for Outstanding Invoices, Documents, Forms, Agreements, and Incomplete Questionnaires, helping to accelerate case progress like never before.

💡How to Configure Automated Reminders

To enable this feature, go to Settings > Automated Reminders, then adjust the templates and reminder frequencies as needed.

This feature is included for free in the Premium/Core, Advanced, and Ultimate plans. If it's not part of your current plan, you can add it as an add-on from your Subscription page.

🚨Due Dates

Due dates are automatically applied to all supported files based on your Settings. Please make sure your firm’s settings are up to date to ensure accurate date assignments.

These due dates can be overridden at the file level using the Options dropdown. You can also select multiple files and update the auto-assigned due dates in bulk as needed.

Supported files:

Invoices, Documents, Forms, Agreements, Questionnaires

For example, your document checklists will have due dates assigned based on your Settings. If you’d like to give clients more time, you can extend the deadlines using the Bulk Select option or the Options menu, as shown.

Note: Once due dates are reached, clients who haven’t completed the required task will start receiving reminders based on the template and frequency you’ve set, continuing until the task is completed.

Automated Forms and Document Checklist Assignment
After selecting the application type through the updated Questionnaire system, the platform will automatically assign the correct forms and required document checklists.

Faster Forms Autofill ⚡
Our Universal Questionnaires now support faster auto-fill of immigration forms, helping you process applications more efficiently.

💡The forms listed above will be processed within 1-3 minutes of submission, as they now use our new questionnaire system. All other forms will continue to be handled through our legacy form-filling process until they are upgraded to the v3 technology.

AI-Powered Tools

Copilot Evaluations (AI-Powered Scorecards for Assessments)
AI-powered scorecards are now part of assessments, delivering more robust evaluations. While our Rules Engine validates scores to minimize AI errors, we recommend reviewing scores before sharing them with clients. Please use the built-in feedback tool in the scorecard to report any issues or suggest improvements.

Copilot Insights (AI-Powered Recommendations)
Use Copilot to get AI-driven suggestions on how your client can improve their scores across immigration pathways.

🚨 Copilot AI Daily Limits

All AI-powered features have daily limits based on your plan, which you can monitor directly from the client's case.

These limits can be increased based on your usage and needs, for an additional cost.


Client Experience & Portal

E-Signatures Client Portal Message
E-signature requests now appear directly in the Client Portal, making it easier for clients to find and complete e-signature requests.

Applicants/Users Redefined

  • Personal Cases:

    • The "Users" section is now labeled "Applicants" and should be used to define the principal applicant, spouse, sponsors, and dependants.

    • Now you may track the IRCC Application Number at the case level for better case tracking.

  • Corporate Cases:

    • The "Users" section continues to manage individuals needing access to the corporate file.

Questionnaire role assignment

Quickly determine the appropriate respondent with the new role indicator displayed at the top of the questionnaire.

Simplified Questionnaire Workflow
Questionnaire selection has been streamlined and is now categorized by immigration pathway. For multi-applicant cases, like Spousal Sponsorship, each person will receive their personalized questionnaire.

Upgraded Questionnaires
We’ve replaced all our questionnaires with a single dynamic, universal version that adapts based on the selected immigration pathway and user responses. Key features include:

  • Dynamic question flow that adjusts in real time based on user inputs and selected pathway

  • Only the most relevant questions are shown, reducing clutter and confusion

  • Automatic saving of answers every 90 seconds ensures no progress is lost

  • Manual save option available for added control

  • Users can resume the questionnaire at any time through the Client Portal

Data Sharing
Information entered by clients in questionnaires is automatically carried over to future questionnaires, minimizing repetitive data entry and streamlining the data collection process. For example, if a client provides demographic details, that information will automatically populate in future questionnaires.

🚨Data Sharing Eligibility

Data sharing is only enabled if the client has previously completed a questionnaire in full. Once they’ve submitted it and attested that the information is complete and accurate, the data becomes eligible to be shared across future questionnaires to help minimize redundant data collection.

Automated Sort and Travel Duration Calculation
Our questionnaire now auto-calculates durations in days and automatically sorts your client’s data in descending chronological order, making it easier to align with immigration form requirements.

Personal Profile Details – Revamp
Client profile pages now organize data into clearer, pathway-specific sections to better reflect immigration requirements.

Corporate Profile Details – Revamp
The corporate profile layout has been redesigned to match the improved interface and structure of the personal profiles.

Secure Data Sharing
Documents, Invoices, Receipts, and Questionnaires shared with clients now require a secure access code for enhanced data protection.


Case Management & Productivity

Alerts
Receive real-time alerts if critical issues are detected in a client's file, such as missing periods in personal history, expiring documents etc.

CICC Report (Filter by Team Member)
For firms with multiple RCICs, you can now generate the CICC Annual Report for each individual RCIC.

Weekly Alerts for Expiring Documents
All team members assigned to the case will receive a weekly email to help keep everyone aligned on expiring documents. The email will be grouped by document type and client to make tracking easier.

Document Search
Easily find any document in a client’s file using the new search feature under the Documents tab.

Download Application
Download all client case details needed for submission with a single click.

Usage Limits Tracking
Monitor daily usage of features with enforced limits, like AI tools or form fills. Usage tiers can be expanded with plan upgrades or add-ons.

Reminders Report (Expiration Tracker)
Easily track all reminders for expiring documents in the new Reminders report.


Billing & Payments

Payment Requests
If you don’t want to issue a formal invoice, send a payment request instead to have clients fund their trust account.

Tax Adjustments and Inclusive/Exclusive Tax Settings
Make minor tax adjustments to fine-tune invoice totals. Specify whether invoice items include or exclude tax right from the creation screen.

GST/HST Number
You can now display your GST/HST Number at the top of invoices by entering it in the HST Number field located under the Payment Terms section in Settings.


Trust Account Reconciliations

Designated Fee Source


To support more advanced reconciliations, we’ve added a new feature that lets you designate a deposit as the source for covering processing fees. For instance, if you billed a client $100 via Stripe and a $3 fee is deducted, only $97 is deposited into your bank account. This can create reconciliation challenges, especially if the client’s Service Agreement reflects a $100 payment for the milestone. To address this, you can deposit funds into the Trust Account specifically to cover such fees. By marking this deposit as a fee source in CaseEasy, the system will automatically apply the $3 fee from that deposit, restoring the client’s balance to the full $100.


🚀 CaseEasy Pay (Lowest Fees Card Processor)

Consider opening an account with our very own payment gateway, CaseEasy Pay. It offers some of the lowest fees in the industry, at just 2.85% + 25 cents. 

Unlike most providers, transaction fees are not deducted from your clients' payments. Instead, they’re withdrawn from a dedicated account at a set time each month, making reconciliation much simpler. For example, if you invoice a client $100, the full amount will be deposited into your bank account. Then, at a later date, the processing fees will be withdrawn from the designated account of your choice to cover fees.
