Preparing and Sending out a Retainer Agreement

After setting up your Retainer Agreement Template, you can now generate and send a retainer agreement for your client. Before you proceed, however, it is best to set up your Financial Schedule as well.

Setting Up Your Financial Schedule

This is where you can track your professional fees due for each milestone, government fees, and even taxes. You may also generate a payment plan for your clients.

To do this, navigate to the case you would like to create a retainer schedule from. On the case details page, go to Billing and click the Schedules tab.

Click Add Financial Schedule and you will be taken to a page where you can fill out the necessary information such as professional fee, initial deposit, currency, total payments, among others.

The Payment Terms section on the right will automatically be populated as you fill in the information.

If you set total payments to more than one (1), you will be prompted to define the schedules in the order they are to be delivered.

Click Save Changes and you will see the new schedule you have added.

Edit Financial Schedule

If you need to edit any of your financial schedules, you may do so by clicking the Edit Financial Schedule button and it will take you to the Edit Schedule page.

Generating a Retainer Agreement

Once you're done setting up your Financial Schedule, go back to the Case Menu, and select "Agreements & Letters".

Click Add Letter.

Select the Retainer Template and Financial Schedule you want to use from the dropdown menu and click on "Generate".

You should be able to preview and review the template after you click Generate.

Once satisfied, click Complete and you should see a success message and your newly generated Retainer Agreement in the Agreements and Letters page.

To send out the Retainer Agreement, click on "Share".

You can then compose an email for sending out the retainer agreement. Add a Subject Line, an Email Body, and any other details needed. Once you're done, just click on "Next".

💡You can also use Email Templates when sending out your Retainer Agreement. Just click on "Insert Template" and choose from the drop-down menu that appears.

Click Share to share the agreement or letter.
